Performance Reviews

The Performance Review module lets HR schedule company-wide review cycles, employees complete self-assessments, and managers review their team members — all tracked in one place. It was introduced in the Phase 4 release and sits alongside the existing Targets feature (formerly "Performance & Feedback") under the Performance menu.

The Performance menu contains:

  • Targets — set and track performance targets and goals (see Performance Management)
  • Performance Management — the HR admin view for scheduling and monitoring review cycles (covered on this page)
  • Team Performance Review — where managers review their direct reports
  • My Performance — where employees complete their self-assessment (see My Performance)

Performance Management (HR Admin)

The Performance Management page is the HR command centre for review cycles. It has three tabs — Overview, Reminders & Flags, and Cycles — plus an Export Report button and a + Schedule Review Cycle button in the header.

Overview tab

The Overview tab shows the active cycle at a glance:

  • Four summary tiles: Total Employees, Reviews Completed, In Progress, and Not Started
  • A Department Completion table showing self-review and manager-review progress per department, with a status of Complete, In Progress, or Not Started

Scheduling a review cycle

Click + Schedule Review Cycle to open the scheduling form:

Cycle name, start date, and manager review deadline are required. If Applies to is scoped to a department or hand-picked list, at least one employee must be included.

When you click Schedule & Notify:

  1. A review is automatically created for every employee covered by Applies to — every active employee by default, or only the selected department/employees if scoped.
  2. Each employee's reviewer is locked in as their manager from the org chart (the Reports To field) at the moment the cycle starts.
  3. Every employee receives an in-app message and email about their self-assessment, and every manager is notified of the reviews awaiting them.
Set up reporting lines first

Reviewers are assigned from the Org Chart. Employees with no manager assigned will have no reviewer and appear in the Reminders & Flags tab as flagged — set each employee's Reports To before scheduling a cycle.

Automatic reminders

The system sends reminder notifications automatically — 7 days before each deadline and again on the deadline day — to anyone who has not yet submitted. Reminders stop once a person has submitted or completed their part.

Reminders & Flags tab

Alongside the flagged employees list (see the tip above), this tab shows an Auto-Reminder Status card with the count of staff/managers still pending for the active cycle, and a Send Manual Reminder card with a Remind All button for outstanding self-assessments and another for outstanding manager reviews. Manual reminders are only available while a cycle is active, and only reach people who haven't submitted yet.

Cycles tab

Each cycle appears as a card showing its dates, progress bar, and status badge (Active, Scheduled, Completed, or Draft). From an active cycle you can view details, override a reviewer, mark the cycle complete, or delete it; scheduled and draft cycles can be activated or deleted. Send Reminder on an active cycle's card immediately chases everyone who hasn't yet submitted their self-assessment or manager review.

View Details opens a dialog listing every employee assigned to that cycle, with their department, reviewer, and self-review / manager-review status (Done or Pending).

Overriding a reviewer

Click Override Reviewer on an active cycle to reassign who reviews a specific employee for that cycle — for example, if the reporting line was wrong or a manager is on leave:

  1. Choose the employee whose review you want to reassign.
  2. Choose the new reviewer. An employee cannot be their own reviewer, so they're excluded from the list.
  3. Click Save.

Reassigned reviews show Reassigned by HR next to the reviewer's name in the cycle details table. Click Reset to org chart to remove the override — the review then goes back to whoever the employee currently reports to. Only HR admins can override a reviewer.

Exporting results

Export Report downloads a CSV containing: Employee, Department, Role, Cycle, Status, Self Rating, Manager Rating, Recommendation, and Submitted At.

Team Performance Review (Managers)

Managers open Performance > Team Performance Review to see the reviews assigned to them. A manager only sees employees for whom they are the assigned reviewer.

The Reviews tab shows:

  • Summary tiles: Total, Completed, In Progress, Pending
  • A cycle completion bar and filter tabs (All, Pending, In Progress, Awaiting Sign-off, Completed)
  • A table of team reviews — click an employee's name to view their profile, and use the action button (Start Review / Continue / View) to work on the review

Completing a review

The review form walks the manager through four steps:

  1. Goals — rate each of the employee's goals, with optional notes.
  2. Competencies — rate the employee on each competency: Communication, Teamwork & Collaboration, Initiative & Ownership, Technical Skills, and Leadership.
  3. Overall & Feedback — an overall staff rating plus written feedback: overall performance feedback, key strengths, development areas, and action plans.
  4. Recommendation — choose one (required): Promote, Continue in current role, or Performance Improvement Plan.

Reviews can be saved as a draft at any step, and reopening a draft with Continue restores your previously entered ratings and comments. Once submitted, the review is final and results are pushed to the HR, manager, and employee dashboards.

Goal Setting

The Goal Setting tab is where managers define each team member's goals and competencies for the next cycle. Goal editing is locked while a review cycle is active — goals can be edited between cycles.

Rating scale

Both self-assessments and manager reviews use the same 1–5 scale:
