Contract Template

The Contract Template module enables HR to create, manage, and deploy standardized electronic contract templates for employment agreements, offer letters, and other legal documents. This system streamlines contract generation by using reusable templates with dynamic field replacement.
List
View the complete Electronic Signature Contract Template List displaying all available contract templates in your organization. This centralized repository includes:
- Template names and descriptions
- Template types (e.g., Employment Contract, NDA, Offer Letter)
- Creation and last modified dates
- Template status (Active/Inactive)
- Quick action buttons for editing or duplicating templates
The list view provides easy access to all contract templates, enabling efficient template management and quick deployment.
Add

Create new contract templates by adding customized content tailored to your organization's legal and HR requirements.
Template Creation Process
- Click Add to open the contract template editor
- Enter template name and description
- Add contract content using the text editor
- Insert dynamic fields using the proper syntax
- Review and save the template
Dynamic Field Syntax
Important: Fields that need to be dynamically replaced in the template must use the following format:
${field_name}
Examples of Dynamic Fields:
${employee_name}- Employee's full name${position}- Job title or position${start_date}- Employment start date${salary}- Compensation amount${department}- Department name${manager_name}- Supervisor's name
When a contract is generated, these placeholders will automatically be replaced with actual employee data from the system.
Signature Section
Critical Note: The signature part at the end of the template is in a fixed format and cannot be changed. This ensures compliance with electronic signature platform requirements and maintains legal validity of signed documents.
Edit
Modify existing contract templates to update terms, conditions, or dynamic fields. The editing process is the same as adding contract information:
- Select a template from the list
- Click Edit to open the template editor
- Make necessary changes to content or dynamic fields
- Ensure proper
${field_name}syntax for any new fields - Save changes to update the template
Reminder: The signature section remains fixed and cannot be modified during editing.
Expired Contract
The Expired Contract module helps HR track and manage employment contracts that have reached their expiration dates, ensuring timely renewals and compliance with employment regulations.
List
View comprehensive listing information of all expired contracts in the system. The list displays:
- Employee name and ID
- Contract type and title
- Original contract start date
- Contract expiration date
- Days since expiration
- Current employee status
- Quick actions for renewal
This view enables HR to proactively identify contracts requiring renewal and maintain accurate employment records.
Renewal
Initiate the contract renewal process for expired agreements. When you click the Renewal button:
- The system redirects to the user signing page
- A new contract is generated based on the selected template
- Dynamic fields are populated with current employee information
- The employee receives notification to review and sign
- Both parties complete the electronic signature process
This streamlined workflow ensures efficient contract renewals while maintaining proper documentation and electronic signature compliance.
Contract Renewal
List
Display the comprehensive list of all renewed contracts in the system. This record-keeping view shows:
- Employee name and ID
- Original contract expiration date
- New contract start date
- Contract type and duration
- Renewal date and timestamp
- Signing status (Pending/Completed)
- Associated documents
The renewal contract list serves as an audit trail for all contract renewals, ensuring transparency and compliance with employment documentation requirements. HR can track renewal history and verify that all necessary signatures have been obtained.
